Booking Terms

Party Face Painting has made every effort to word these booking terms and conditions in plain English, with clarification of various clauses where necessary. If you do not understand any part of these terms, please call us for clarification before agreeing. Any booking whether confirmed verbally, electronically or in writing will be subject to our contract carrying the following non-negotiable Terms & Conditions of Booking:

1 Definition

The Booking Contract (“Contract”) is negotiated by Party Face Painting (the ‘Face Painters’) and the Client (“Client “). A booking (“Booking”) is any verbal, electronic or written request securing Party Face Painting for a specific date from the Client to Party Face Painting.

2 Confirming the Booking

i) All Booking requests take effect upon receipt of ‘Deposit Payment’ (booking fees) or Invoice details by the Client within 7 days of the initial Client enquiry, or longer if agreed upon by Party Face Painting and the Client.

ii) ‘Confirmation’ (“Confirmation”) will mean any verbal, electronic or written acceptance of this booking. Upon receipt of the deposit, Party Face Painting will issue a ‘Confirmation email’ (Booking Contract) to the Client. This email will include all contact details, event details as supplied by the Client and balance details. It is the Client’s responsibility to check these details are correct.

iii) Late payment or failure by the Client to pay the booking fee within 7 days will result in the Client’s booking request being cancelled.

3 Booking Deposit Payments

‘Deposit payments’ (Booking Fees) can be made by bank transfer, BACS, Credit/Debit card or PayPal unless prior arrangements have been requested. Booking deposits are fully refundable or bookings can be transferred to alternative dates subject to availability.

4 Changes to the Booking Contract

The agreed fees may be subject to change (in agreement with both the Client and Party Face Painting) if any booking details are altered. All changes to the booking must be arranged and agreed upon by Party Face Painting within 48 hours of the event. Failure to follow this procedure may lead to cancellation fees of 10% of the full amount due plus any expenses incurred if the contract is altered without proper notification.

5a Payment of Balance fees (Free to guests)

For public/private events where face painting will be paid for by the Client and provided for free to guests, the agreed final fee (balance fee) is due on the day of the event. Fees can be paid in cash or by Online Transfer, Bank Transfer (BACS), Credit/Debit card or PayPal. Cheques are not accepted.
(i) Payments in Cash.
If paying by cash, this should be paid on the day by the Client upon the arrival of the Party Face Painting artist to ensure there are no delays in payment at the end of the event. Additional events may be scheduled and we may be required to leave no later than 10 mins after the end of any event.
(ii) Payments via Bank Transfer (BACS), Credit/Debit card or PayPal.
If paying by Bank Transfer (BACS), Credit/Debit card or PayPal, this should be completed 48 hours before the event.

5b Payment of Balance fees (Pay-per-Face)

(i) In the case of public/private events where the attendees (guests) will pay for services (Pay-per-Face) Party Face Painting still require the agreed balance to be paid by the Client as specified in section 5a above. Party Face Painting will charge an agreed fee to each customer at the event and all money raised on the day will be handed over to the organiser at the end of the event to cover fees. The money raised on the day may be more, or less than the agreed fee depending on the actual turnout.
(ii) In exceptional circumstances where Party Face Painting has agreed to waive any fees for Pay-Per-Face events. In the unlikely event that Party Face Painting is unable to raise the full balance due to any unforeseen circumstances on the day, the Client will be responsible for paying any shortfall to the artist. This is required on the day of the event in Cash or via Bank Transfer (BACS), Credit/Debit card or PayPal. 

6 Cancellations

Cancellation by the Client:
i: If the Client cancels the booking, the Client agrees to inform Party Face Painting immediately and at least 48 hours before the event. Deposit payments are refundable or can be transferable to an alternative date, subject to availability.
ii: Failure to Cancel, Reschedule, or Postpone an Event:
If the Client does not notify Party Face Painting of an event cancellation within 48 hours of the event date or provides inaccurate information concerning the event’s date, time, or address, the Client will be liable for 100% of the balance.
Cancellation by Party Face Painting:
i. Cancellation due to Covid
If any of our artists feel ill or have symptoms of C0VlD-19, they are required to self-isolate immediately. Party Face Painting will attempt to provide another face painter, however, if not possible, we may have to cancel your booking at short notice. This is to ensure we are covered by our public liability insurance. If your booking is cancelled, you will be able to re-book again for another date or ask for a full refund.
ii. Cancellation under circumstances covered by ‘Force Majeure’
In cases of ‘Force Majeure’ (which shall be known as war, fire, death,  or other capacity certified by a suitably qualified medical practitioner, accident, civil commotion, national calamity, order of Government or Local Authority having jurisdiction in the matter, changes in law, foreign government policy, the act of God), which are not attributable to any act or failure to take preventive action by Party Face Painting or Client, then Party Face Painting or Client may cancel this booking without penalty other than loss of payment already made.

7 Responsibility for incorrect information in the booking

If your booking information is incorrect, then it is the Client’s responsibility to inform us of any/all changes 48 hours before the event. Failure to do so may result in charges. These charges may encompass lost income, travel expenses, and any other costs incurred or lost.

8 Contract to buy

The contract to buy (acquire our service) is complete upon the Client’s receipt of the confirmation email following Party Face Paintings’ receipt of the ‘Deposit Payment’ (booking fee)

9 Complaints

If through their fault, any Face Painters are unable to fulfil part of the event schedule or break the terms of this Contract and the Client would like to claim a reduction on the fee, a complaint must be made in writing to Party Face Painting no more than 30 days after the event. Full payment must still be made to Party Face Painting as agreed in the contract. Withholding payment is illegal. Failure to pay the Party Face Painting within the terms of this Contract will incur charges outlined in clause 7 (see above) and may render the Client subject to prosecution.

10 Changes on the day

Where possible, changes to the Contract schedule, which are unavoidable on the day of the event, should first be discussed and agreed upon with Party Face Painting.

11 Responsibility for children and adult supervision

It is Party Face Painting policy that all staff working with Party Face Painting are not permitted to be left alone with any child (or children) at any time. It is, therefore, the Client’s responsibility to ensure, at all times, that the child (or children) is supervised by a responsible adult, other than the Party Face Painting staff.

12 Outdoor events

For outdoor events, Party Face Painting artists require suitable shelter to protect face painting kits (Equipment and Face Paints). If the Client cannot provide adequate shelter (protection from wind, rain and sunshine) this may result in damage to our equipment and stock. Any damages due to unsuitable shelter must be paid for by the Client. In some cases, we may be able to provide shelter but the Client and Party Face Painting must agree upon this before the event date.

13 Party Face Painting Staff Policy

Party Face Painting Face Painters aim to arrive 10 minutes before the event start time and leave no later than 10 minutes after the event’s end time.
All our Face Painters will arrive at your event and introduce themselves to the Client or point of contact.
Party Face Painting cannot tolerate rudeness from any hirer or guests towards any of our Face Painters.
